  2. Ensure timely and professional execution of key tasks, including issuing charitable receipts, handling stakeholder correspondence, organizing meetings, and supporting project management team needs.
  3. Maintain accurate documentation and monitoring systems for refugee program data in Smart sheets and Google Docs.

1. Charitable Receipts Issuance and Tracking:

  • Outcomes: All charitable receipts issued within 48 hours of donations. A clear, organized tracking system is in place for financial transparency.
  • Deliverables:
  • Centralized receipt tracking system (spreadsheet or CRM).
  • Weekly reports on donations and receipts.
  • Standardized templates for donation receipts and acknowledgment emails.

2. Communication Management (Emails and Phone Calls):

  • Outcomes: Efficient and timely responses to inquiries (within 24-48 hours) and improved stakeholder relationships.
  • Deliverables:
  • Log of correspondence (categorized by urgency).
  • Pre-drafted templates for frequent inquiries.
  • Weekly summaries of key communications and any follow-ups.

3. Meeting Coordination (Zoom, Google Meet):

  • Outcomes: Well-organized meetings with clear agendas and actionable follow-up points.
  • Deliverables:
  • Weekly meeting schedules and agendas.
  • Minutes and action points delivered within 24 hours after each meeting.

4. Support for Project Management Team:

  • Outcomes: Proactive support provided across tasks, leading to increased team efficiency and collaboration.
  • Deliverables:
  • Weekly reports on support tasks completed.
  • Contributions to project timelines, reports, and ad hoc tasks.

5. Data Monitoring (Refugee Smart Sheets and Google Docs):

  • Outcomes: Accurate and up-to-date refugee program documentation, with reduced errors and increased organization.
